The Role:

One of Australia's leading audio production companies is seeking a reliable and detail-oriented Administration Coordinator to join our team based in Homebush West.  In this role you will provide key administrative support for the Operations team in our Sydney location.

This role is ideal for someone who enjoys varied administrative work, supporting reception and general office operations within a collaborative and supportive team environment.

Key Responsibilities:

• Act as the first point of contact for all onsite visitors and incoming calls, and respond to general email enquiries.

• Manage daily administrative tasks, including; assisting with courier/freight bookings, raising purchase orders and providing general office support.

• Coordinate the purchase of office supplies and manage stock levels; assist other departments with purchasing, as required.

• Organise staff meetings and events, including minute taking, issuing staff invites, and arranging external training for staff.

• Provide ongoing assistance to the operations team; ncluding but not limited to crew scheduling, booking labour hire, assisting with staff travel bookings, and raising client invoices.

• Prepare employee expense reimbursements, and action other travel-related claims, and work-related enquiries, as directed.

• Assist with the administration of the company motor vehicle fleet.

• Assist with WHS administration for live productions, including preparing and coordinating SWMS documentation to support Accoun tManagers.

• Assist key departments and interstate offices with general administrative requirements as needed.

Skills and experience

To be considered for this position applicants must meet theessential criteria listed below:

• Minimum 2 years’ experience in a similar administrative role.

• Proficient in the use of Microsoft Office Suite: Excel, Word, Outlook and PowerPoint.

• Sound knowledge and experience using accounting software. 

• Great communication skills and ability to build strong working relationships.

• Demonstrated organisational and time management skills and the ability to multi-task and work under pressure.

• Demonstrated positive work ethic and the willingness to learn new systems.

• Experience in the live entertainment industry is highly desirable.
