The Role:

One of Australia's leading audio production companies is seeking a reliable and detail-oriented Administration Coordinator to join our team based in Homebush West.  In this role you will provide key administrative support for the Operations team in our Sydney location.

This opportunity is ideal for someone who enjoys variety and thrives in a fast-paced environment, with diverse responsibilities across essential back-office administration.

Key Responsibilities:

• Act as the first point of contact for all onsite visitors and incoming calls, and respond to general email enquiries, as directed.

• Manage daily administrative tasks, including; assisting with courier/freight bookings, raising purchase orders and providing general office support, as directed.

• Coordinate the purchase of office supplies and manage stock levels; assist other departments with purchasing, as required.

• Assist with the administration of the company motor vehicle fleet.

• Organise staff meetings and events, including minute taking, issuing staff invites, and arranging external training for staff, as directed.

• Provide ongoing assistance to the operations team; including but not limited to crew scheduling, invoicing, data entry, and booking labour, and assist with staff travel and accommodation bookings, as required.

• Assist with WHS administration for live productions, including preparing and coordinating SWMS documentation to support Account Managers

• Support payroll and other key departments during leave periods, and provide administrative assistance to the HR team, as required. Liaise with our interstate offices for general admin assistance, as required.

Skills and experience

To be considered for this position applicants must meet the essential criteria listed below:

• Minimum 3 years’ experience in a similar administrative role.

• Proficient in the use of Microsoft Office Suite; excel, word, outlook and PowerPoint.

• Excellent organisational skills and the ability to meet multiple deadlines.

• Sound knowledge and experience using accounting software.  

• Great communication skills and ability to build strong working relationships.

• Demonstrated organisational and time management skills and the ability to multi-task and work under pressure.

• Demonstrated positive work ethic and the willingness to learn new systems.

Highly Desirable (Non Mandatory)

• Experience in the live entertainment industry, with an understanding of its operational and employment award complexities.

• Demonstrated experience in payroll administration, including processing, reporting, and compliance.

• Experience using HRIS platforms (Employment Hero preferred) with a focus on maintaining accurate employee data and supporting system processes.
